Cancellation & Refund Policy
At Fully-Prepped Tutoring (FPT) we strive to provide the best learning experience for all students. To ensure fairness and efficiency, we have established the following policy regarding cancellations, rescheduling, and refunds.
FPT understands that things change and circumstances may arise, where you need to cancel a booking. We kindly ask that you notify us as soon as possible if you need to cancel or reschedule. Please note that we do not offer refunds. Cancellations made with less than 14 days prior to the course start date cannot be rescheduled. However, if you provide more than 14 days notice before the course start date, we are happy to offer a one-time rescheduling to be used within six months of the original course date, subject to availability.

Missed Sessions & Late Arrivals

If a student is late, unable to attend one or more days of a course or needs to leave early, the missed time can not be made up or rescheduled.

Drop Off & Pick Up
​
At Fully-Prepped Tutoring (FPT), each course location will have a clearly marked designated door or gate for drop-off and pick-up, identified by a Fully-Prepped Tutoring (FPT) sign. A member of our staff will be present to sign students in on arrival and out at collection. For safeguarding reasons, please let us know if someone different will be collecting your child. Students must be collected by a known adult. If there is any confusion or concern regarding pick-up arrangements, we will not release the student and will contact you to confirm details. We kindly ask parents and carers to wait at the designated drop-off/pick-up point and not enter the workshop space or classroom. Please don’t hesitate to contact us about your arrangements.
Behaviour Policy
At Fully-Prepped Tutoring (FPT), we are committed to creating a welcoming and inclusive environment where all children can learn and thrive. We promote a culture of mutual respect and have a zero-tolerance approach to any form of disrespect, malice, or discriminatory behaviour or language. In line with the Equality Act 2010, we are dedicated to ensuring equality and fairness for all. Any offensive conduct that violates these principles may result in the pupil being asked to leave the course with immediate effect with no means to refund or rebooking. We are also committed to support pupils as best we can who may require assistance with behaviour management and self-regulation (see our SEND Policy). However, this support must not negatively impact the teaching, delivery, or overall success of our workshops, nor the experience of other pupils or tutors. Where necessary, we may suggest 1:1 sessions as a more suitable option. Final decisions are at the discretion of Fully-Prepped Tutoring.
Special Educational Needs and Disability Policy

At Fully-Prepped Tutoring (FPT), we warmly welcome pupils with Special Educational Needs and/or Disabilities (SEND) and are committed to creating an inclusive learning environment where every child has the opportunity to participate and thrive. We recognise that each pupil is unique, with different learning styles and needs, and we are equipped to support and accommodate those needs wherever possible. To ensure we can plan effectively and make necessary adjustments, we kindly ask that parents and carers share any formal diagnoses or relevant information regarding their child’s learning or additional needs at the point of booking. This allows us to review our course content, assess what accommodations can be made, and determine the most appropriate level of support. All bookings are considered on an individual basis, and we will discuss the pupil’s needs with parents or carers prior to the start of the course to ensure the best possible experience and outcomes.
Where a pupil requires specific equipment as part of their learning plan, it is the responsibility of parents or carers to provide this. We are always happy to have an open conversation about your child’s needs and advise on which workshops or courses may be most suitable.
Please note, while we strive to be as inclusive as possible, final decisions regarding the support we can provide—and any limitations—are at the discretion of Fully-Prepped Tutoring

Illness and sickness​
General Guidelines

Tutors and students are expected to stay home if they are unwell or exhibiting symptoms of contagious illness (e.g., fever, persistent cough, vomiting, sore throat, rash, or flu-like symptoms).

All parties must notify each other and Fully-Prepped Tutoring (FPT) staff at the earliest opportunity if illness may affect a scheduled session.
Student Responsibilities

Parents/guardians must inform the tutor and Fully-Prepped Tutoring (FPT) if their child is sick and unable to attend a session.

Sessions cancelled within 2 hours of the scheduled time may be charged at 50% of the session fee, unless exceptional circumstances apply.
Insurance and Liability

Fully-Prepped Tutoring (FPT) is insured through Simply Business. Our tutors are covered by Public Liability Insurance.
All employed tutors at Fully-Prepped Tutoring (FPT) hold a full, up-to-date DBS (Disclosure and Barring Service) check, ensuring a safe and professional learning environment for all children.
While we are committed to maintaining high standards of safety and care, Fully-Prepped Tutoring (FPT) cannot be held responsible for any loss, damage, or injury unless it is directly caused by our actions.
We do not accept liability for circumstances or events beyond our reasonable control.

Photography
At Fully-Prepped Tutoring (FPT), we sometimes take photographs of students and their work during our sessions to celebrate their achievements and showcase our activities for promotional purposes, including on our website and social media. In line with our safeguarding procedures, we endeavour to only take photos of backs/tops of heads and side profiles to reduce recognition and identity. You will be asked when registering your child for one of our courses if you are happy to consent for their photo to be taken during the sessions. You may withdraw your consent at any time by contacting us directly. Safeguarding and privacy are our top priorities, and all images are handled with care and respect. No names will be used or attached to photos.
Privacy Policy
Fully-Prepped Tutoring (FPT) operates in line with GDPR regulations. The information collected at registration including but not limited to; your child's name, your child’s date of birth, their current school, your name, emergency contact number, email address, and any relevant medical information—is used solely to ensure your child’s safety and to provide our team with the necessary details to help us support your child and tailor our activities and teaching while they are attending our courses.
We use your email address to communicate important updates such as any changes to a session, request feedback, share promotional information, and maintain a direct point of contact.

We do not share any personal data collected during registration with third parties. All information is securely stored and protected by password on our systems.
Health & Safety
A risk assessment will be carried out by Fully-Prepped Tutoring (FPT) staff before each course and at every location. Our team will ensure that the learning environment is safe, clean, and suitable for all planned activities before students arrive. At least one member of staff present at each session will be a qualified first aider.

· What type of workshop does Fully-Prepped Tutoring (FPT) offer?
We offer a range of workshops within maths and English which can be explored through our website: www.fullypreppedtutoring.co.uk The courses run as small group, age-appropriate classes which focus on engaging students with fun and creative academic activities. Every workshop is unique and the activities will vary to allow for continuous participation at FPT.

· What should I bring to a workshop?
We suggest bringing: a named water bottle and weather appropriate clothes as at some locations there will be opportunities to go outside. We will provide the necessary equipment for the courses.
· How long are the workshops?
Each workshop is varied, but will range between one to five hours. Please check each specific course when booking for accurate timings.
· Who leads the workshops?
The workshops are run by fully qualified, experienced teachers and tutors who uphold the values which are at the heart of Fully-Prepped Tutoring (FPT).
· Is there parking available at the workshop location?
Parking is dependent on the location of the workshop. Please refer to local parking restrictions. Where we can, we will provide details on parking through your booking confirmation.
· How large are the groups attending the workshop?
Group sizes vary depending on age and the content of the workshop. They will be small, tailored groups to ensure bespoke, high-quality learning. The course details will state the number of spaces available.

· Will materials be provided for the workshop?
All necessary materials will be provided, these will mostly come in the form of a booklet (each course will vary slightly) which your child will be able to bring home at the end of the course.
· How do I receive feedback?
Feedback will be provided on the materials where appropriate. At Fully-Prepped Tutoring (FPT) we are big advocates for real-time, verbal feedback which children utilise immediately. For some block booked longer term courses a 15-minute feedback consultation will be provided on completion of this course.
